What Comarch ERP Optima costs in 2026: the subscription list, Basic vs Pro, and three costs it leaves out

The list is public. The word "Pro" is where people misread it.

Comarch publishes Optima's subscription prices. Podstawowy is 59 zł a month, Logistyka Basic 75 zł, Księga Handlowa 175 zł. That much answers the search query, and I could stop here. But the most expensive misreading of this list sits in one column: the Pro prices look cheaper than Basic, and they aren't. They're added on top of it.

I integrate Optima with B2B portals, bank statements and, more recently, AI agents for accounting offices. The licence questions I get in that work are rarely about the module someone is buying. They're about the seat count, the employee count in HR and the integration nobody priced. So the list comes first, then two worked examples, then the three costs it leaves out.

The numbers come from the subscription price list on comarch.pl and a reseller copy of the same list dated 1 January 2026. The vendor page carries no date. Everything is net, before 23% VAT. Partners can discount, so treat this as your opening position in a negotiation, not as the invoice.

How the 2026 list is built

Optima's subscription is split into core modules, each with a Basic and sometimes a Pro variant, plus add-on modules. Comarch's own help pages describe it like this:

  • Podstawowy covers invoicing, simplified bookkeeping and basic payroll.
  • Finanse Basic is accounting; Finanse Pro adds full bookkeeping (pełna księgowość) and fixed assets.
  • Logistyka Basic is sales and warehouse; Logistyka Pro adds service orders.
  • Retail Basic / Pro is sales, warehouse and retail.
  • HR Basic / Pro is payroll and HR, priced by headcount and including Comarch HRM and PPK.

Here's the line that matters for pricing: Finanse Pro, Logistyka Pro and Retail Pro "work as extensions" and need the matching Basic module ticked at login. You can't have more Pro seats than Basic seats.

Monthly subscription, net, per licence:

Module Companies Accounting offices
Podstawowy 59 zł 76 zł
Finanse Basic 50 zł 65 zł
Finanse Pro (top-up on Basic) +200 zł +260 zł
Logistyka Basic 75 zł 98 zł
Logistyka Pro (top-up on Basic) +59 zł +76 zł
Retail Basic / Pro top-up 125 zł / +50 zł —
Księga Handlowa (add-on) 175 zł 183 zł
Faktury 28 zł 39 zł
Środki Trwałe 50 zł 65 zł
CRM 50 zł 65 zł
Obieg Dokumentów 42 zł 43 zł
Operacje wielofirmowe — 32 zł

So a full-accounting seat on the Finanse route is 50 + 200 = 250 zł, not 200. For an accounting office it's 65 + 260 = 325 zł.

There's also Księga Handlowa as a separate add-on at 175 zł. The list sells two products that both mention full bookkeeping, and the sources I have don't say which one your setup needs. That's the first question for your partner: which of the two are you quoting me, and why?

The limits in Podstawowy

Podstawowy is cheap for a reason, and the help pages say so plainly:

  • Sales documents are capped each month at 20 × the number of Podstawowy licences.
  • The headcount cap is 50 people, counting employment contracts, civil-law contracts and B2B contractors together.
  • Go over either limit and Optima blocks logging in or saving new documents or employees.

The 20-document cap is the one that bites. A company with two Podstawowy licences gets 40 sales documents a month, and after that, nothing saves until someone buys more.

HR is priced by headcount, not seats

HR tier Companies Accounting offices
HR Basic, up to 20 employees 167 zł 218 zł
HR Basic, up to 50 250 zł 325 zł
HR Pro, up to 100 517 zł 673 zł
HR Pro, up to 200 767 zł 998 zł
HR Pro, up to 300 1 017 zł 1 323 zł
HR Pro, over 500 1 767 zł 2 297 zł

Users are unlimited. Employees are what's counted, and for an accounting office the count is the sum across all client databases you serve. Say an office runs payroll for 30 clients with 6 people each. That's 180, so the 200 tier at 998 zł. Then one new client arrives with 25 staff. Now it's 205, the office moves to the 300 tier, and the bill goes up by 325 zł a month for that single client. Price that client with the tier jump included, not at the average.

Cloud and KSeF use a different price list, and the old names

The cloud list (Chmura Standard, browser login) still uses the module names people know from the perpetual days: Kasa/Bank Plus as the 15 zł access module, Handel Plus 134 zł, Księga Handlowa Plus 174 zł, Płace i Kadry Plus 134 zł. There are bundles too: Mała Firma at 70 zł and START Firma at 167 zł, available only on your first Optima purchase. So two naming schemes are in use at once, and offers mix them up. Make sure both offers you're comparing come off the same list.

KSeF in the cloud is priced by annual invoice volume, the same for companies and offices:

KSeF documents per year Monthly
up to 200 15 zł
up to 1 500 50 zł
up to 10 000 100 zł
up to 60 000 350 zł
over 60 000 600 zł

The list also has an "Agenci AI" line now: 22, 42 or 78 zł a month for companies, 85 to 582 zł for offices. I haven't seen a spec of what those do, so I'll leave it at the price.

Perpetual licences

The comarch.pl list shows no perpetual prices at all. Resellers still quote them: roughly 2 800 to 3 000 zł one-off for Księga Handlowa, plus an annual support fee they put at 18–23% of the licence value. Those are reseller numbers, not the vendor's. I have no source saying Comarch has stopped selling perpetual licences, so ask your partner directly.

Two worked examples

Neither the list nor the help pages say outright that every concurrent user needs a Podstawowy licence. The 20-documents-per-licence rule suggests it's counted per seat, so that's how I've done the sums below. Confirm it with your partner, because it moves the total by 59 zł per person.

A wholesaler: four sales and warehouse users at the same time, one accountant on full books, payroll for 15 people.

  • Sales: 4 × (59 + 75) = 536 zł
  • Accountant: 59 + 50 + 200 = 309 zł
  • HR Basic up to 20: 167 zł
  • Total: about 1 012 zł net a month, before KSeF, implementation and integration.

An accounting office: five accountants on full books, multi-company operations, payroll for 180 people across clients.

  • Accountants: 5 × (76 + 65 + 260) = 2 005 zł
  • Operacje wielofirmowe: 32 zł
  • HR Pro up to 200: 998 zł
  • Total: about 3 035 zł net a month. The HR line is a third of the bill, and it's the line that moves when a client grows.

Optima next to enova365

Since the enova365 price list post is the one people actually read, here's how the two compare on company lists:

Item Comarch Optima enova365
Sales seat 134 zł (Podstawowy + Logistyka Basic) 70 zł Silver / 120 zł Gold
Full accounting seat 250 zł (Finanse Basic + Pro) or KH add-on 175 zł 203 zł (Księga Handlowa, Gold)
CRM 50 zł 35 / 72 zł
Payroll by headcount, from 167 zł (up to 20) per seat, 120 / 265 zł
API no line item; third-party packages ~5 800–8 800 zł one-off WebApi 131 zł a month per installation

The API row is where the two platforms really differ. enova365 sells integration as a product. Optima leaves it to you.

Three costs not on the list

1. Implementation. No public price from anyone. Partners quote per project.

2. Integration. The list has no API line. Optima has five different things called an API: the COM-based CDN.API, Comarch's own Web API, XML export, direct SQL, and commercial packages that run roughly 5 800 to 8 800 zł net. Which one you need depends on whether you have to write into Optima or only read from it. That's what decides the cost.

3. The seat your integration takes. Optima counts concurrent users, and an integration that logs in through CDN.API counts as one. You usually find out at month end, when the last accountant can't log in. I've written about the other limits that show up late. For offices, multi-company operations are the 32 zł line that makes an agent worth connecting at all.

Before you sign, ask your partner five things in writing. Does every user need Podstawowy? Are you quoting full accounting through Finanse Pro or through Księga Handlowa? Which HR tier do we land in after next year's growth? What does the integration cost, and does it take a seat? Is this offer on the subscription list, the cloud list or a perpetual licence?

If you're putting an AI agent or a portal on top of Optima and want someone to check the licence plan before the project starts, get in touch.

PIT-11, PIT-4R, PIT-8AR and IFT-1R for 2026: the 1 February and 1 March 2027 deadlines and the three totals that must agree

The payer's annual returns for 2026 go to the tax office by Monday 1 February 2027, because 31 January is a Sunday. PIT-11 to employees and IFT-1R follow by 1 March. Before anything goes out, three totals have to agree: PIT-11s against PIT-4R, PIT-4R against the bank statement, and flat-rate tax against PIT-8AR. Correct a PIT-11 after mid-February and it lands on an employee whose Twój e-PIT is already prefilled.

KSeF API 2.0 error codes: 440, 450, 21405 and the rest — what they mean and how to fix them in enova365, Optima and Subiekt

KSeF reports errors on three levels: an HTTP exception with a 21xxx code, a session status and an invoice status. The same number means different things on each, so 440 is a duplicate invoice in one place and a cancelled session in another. The code table from the Ministry's own spec, the fix for each, and the one error you must never fix by renumbering the invoice.
